Morgan is passionate about the events industry and was even voted in the top two for Best Wedding Planner in 2018’s Best of the West Revue Reader’s Poll.

Policies & Procedures

We always strive to make your event not only the best it can be but also legal and safe for all of your guests. Click the button below for a list of our policies and procedures, as well as everything from food services and decorating to taxes, deposits and more.

Food and Beverage:

All food and beverage items must be provided by CityFlatsHotel and must be consumed on the CityFlatsHotel premises. No food or beverage items may leave or be brought into the CityFlatsHotel event spaces, with the exception of wedding cakes prepared by a licensed food service provider. All perishable foods on a breakfast, lunch, or dinner buffet will be removed after a maximum of 2 hours. Hors D’oeuvres stations, continental breakfasts, and meeting break stations will be removed after a maximum of 3 hours.

Food service is required with all bar packages.  All Federal, State, and local laws regarding the purchase and consumption of food and beverage items are adhered to strictly.  We reserve the right to request identification and to refuse the service of alcoholic beverages at any time.  We also, in consideration for the safety of your guests, reserve the right to end bar service at any time.  Drink shots are not available at any banquet bar.

Event Supervision:

On the day of your event, a CityFlatsHotel representative will be present for the entire duration of your event.  They will be there to oversee the event and banquet staff.  Food and beverage service and entertainment ends at 11:00pm.  All equipment, signage, and/or decorations brought in by the user must be removed within one hour of the event’s conclusion.

Upon acceptance, the organization/individuals using CityFlatsHotel are responsible for any damages to the hotel property caused by the patron, their guests, or the agents of the patron (i.e. bands, display companies, etc.)  These damages are at the discretion of the CityFlatsHotel management staff.

Decorating: 

No use of rice, confetti, glitter, feathers, or similar material may be used as table decoration or thrown during special events. Use of nails, pins, tacks, staples, glue, or tape on walls, floors, doors, ceilings, or windows is prohibited. Helium balloons are allowed if they are securely anchored to a stationary object. The charges incurred for the removal of any balloons that float to the ceiling will be the responsibility of the person who signed the contract.

State fire regulations require that all candles be enclosed in a hurricane lamp or glass shield. No open flames are allowed. The use of floating candles is permitted if they are stationed on a table. Additional fees may be incurred for the clean-up of broken glass or wax removal.

Delivery of Materials: 

Please contact CityFlatsHotel to let us know of any shipments being sent to the hotel on behalf of your group.  Due to storage limitations, CityFlatsHotel should receive items no more than 24 hours in advance of the event. Additional fees may apply to storage that requires special areas, large amounts of space or special in-house handling by CityFlatsHotel representatives.

Guarantee:

Arrangements for CityFlatsHotel events, especially larger, multi-day events, should be finalized 4-6 weeks prior to the scheduled date. The final guaranteed attendance is required 14 days prior to your event. Any changes made within 5 business days of your event may be subject to additional fees. If a guarantee is not received as required, we will consider the most recent communication regarding the number of people booked as the final guarantee and prepare final invoicing on that basis. CityFlatsHotel cannot be held responsible for food quality due to delays of 30 minutes or more than the scheduled start time.

Deposit and Payment: 

An initial deposit of 50% of the room rental fee or minimum is due within 10 days of contract signing for weddings and special events.  100% of the room rental fee is due within 10 days of contract signing for meetings and conferences.  Payments may be made by check, cash, or major credit card. No payments by cash or check will be accepted without a valid credit card number retained on file with CityFlatsHotel.  Per our Credit Card Authorization Form, the credit card on file will be used for any remaining balances if another form of payment is not received.  Please see our Events Contract for full details regarding our payment schedule.

Tax and Service Charge: 

6% Michigan sales tax and a 20% service charge will be added to all food and beverage costs.

Cancellation: 

All deposits made to secure a contracted event date are forfeited should a cancellation be necessary.  Please see our Events Contract for full details regarding our cancellation policies.

Additional Facility Guidelines:

CityFlatsHotel is a non-smoking facility. Smoking or vaping indoors, on balconies, or on patios is prohibited. A $250 cleaning fee will be charged if guests smoke on the premises. CityFlatsHotel reserves the right to limit sound levels for the consideration of our other guests and neighbors. CityFlatsHotel allots 3 hours of set up time prior to event start times.  Additional set up time can be arranged for added fees.  Please note that our event space doors do not lock.  Keeping items in event rooms overnight will be at your own risk.  For a full list of CityFlatsHotel policies and guidelines, please see our Events Contract.
